Policies & Procedures
(Policies & Procedures Effective April 1, 2013 • Prices and policies subject to change without notice.)
Billing Terms: Net 10
Unless authorized by the credit department, all invoices are due 10 days from the invoice date. Accounts past due 30 days will be assessed a finance charge of 1½% per month (annual rate of 18%). Accounts past due 60 days will be placed on C.O.D. status, and all current orders will be charged for freight regardless of weekly volume. Payment by cash or money order will be required until account is current.
Accounts past due 90 days will be placed for collection. You will be charged for any applicable collection fees and, should the account go into litigation, reasonable attorney’s fees will be charged, as permitted by law. A fee of $25.00 will be assessed on any check returned unpaid. For your convenience, we will gladly accept VISA and MC.
New Accounts
A completed and approved credit application will be required on all new accounts. Prior to credit
approval, all orders will be shipped C.O.D., unless prepaid by VISA or MC.
Orders
Orders should be placed as soon as possible (at least one week in advance). For accuracy, we prefer that you fax or email all orders to us. During prom season (April-June), we may need to substitute a coat size. Please help us by indicating your preference using a Plus (+) or Minus (-) (up or down) on the coat size. Always get a second style as a backup. We will gladly accommodate your accessory only orders, but these orders will be processed on the Monday of the week of use and are subject to availability. Priority will be given to weddings and complete outfit orders. Accessory-only orders requested to be in your store by Mon, Tues, or Wed may need to be shipped separately, therefore requiring extra handling. Shipping will be added to small accessory-only orders less than $50.00.
Late Orders
Orders placed during the week of use will be considered rush orders and will be shipped by
the best carrier available. However, we will not be responsible for non-delivery by the carrier, including
adverse weather delays. No credit will be issued for the rental(s) or shipping charges.
Extended Rentals
Extended rentals are based on consecutive Saturday rentals.
- 2 weeks = 1½ rentals
- 3 weeks = 2 rentals
Exchanges/Replacements
When ordering exchanges/replacements, please provide us with the order or confirmation number. If the error is ours, we will pay the freight charges to your store. All exchanges/ replacements are subject to availability. During the months of April-June, exchanges will be accepted until the order goes to the shipping dept. Once an order shows shipped, any exchange will be entered as a new order and billed accordingly (applies to style or color changes).
Cancellations & Credit
Orders cancelled prior to shipment will not be charged. Accessory-only orders cancelled after shipment will NOT receive credit. During the months of April thru August, NO CREDIT
will be given on orders shipped but cancelled/not used during the week of use. During all other months, orders cancelled/not used after shipment will receive credit for one-half of the original rental charge. To receive credit, the original computer-generated ticket with “Not Used” clearly written on it must be attached to the outfit being returned. We recommend that you collect a deposit from your customer to offset any possible cancellation charges you may incur.
Delivery/Shipping
We prepay UPS/FedEx ground shipping on WEEKLY rentals totaling $100.00 or more on orders received no later than the Saturday prior to the week of use. Small rush orders placed after Saturday will be charged for the additional shipping fee. Past due C.O.D. accounts will be charged freight until the account becomes current.
We cannot be held responsible for non-delivery by the selected carrier due to weather conditions or carrier error. You will be charged freight both ways if you choose to refuse the package.
No credit will be issued for shipping charges on rush orders.
During the months of April thru August, tuxedos will arrive in your store by Thursday, no later than Friday.
All drop shipments will be charged a fee of $2.00 per shipment.
Missing/Damaged Items
Please check all merchandise in the presence of your customer since you will be held responsible for missing or damaged items. Call us for replacement or repair cost while the customer is in your presence.
Upon request, we offer a $1 per outfit (with coat or trousers) damage waiver to cover repairable damages. It will not cover intentionally damaged or lost or stolen garments. This option must be activated by calling customer service.
Please also check for any personal items left in the pockets, as we cannot assume responsibility for them.
Rental Returns
All rentals are due back to us no later than Thursday following the week of use. If express freight is required to ensure timely receipt in our warehouse,those freight charges will be your responsibility.
UPS Return Service labels are available at a cost of $5.00 per label. These can be sent to you in advance or faxed to you when needed.
Whenever possible, please consolidate smaller shipments into a larger box. When using the stand-up boxes, please return all items on their hangers.
Late Returns
Late return reports will be faxed to you on a weekly basis. Any rental item(s) not returned to us by the 2nd Thursday after the date of use will be billed to you at one-half of the rental price. If not returned by the 3rd Thursday, all article(s) not returned will be billed to you as a re-sale item(s).
Once billed as a re-sale, a restocking fee of $10.00 per item or ½ of the billed amount, whichever is less, will be charged on any late items returned.
Tuxedo Warehouse reserves the right to refuse to ship orders to any account that is constantly late in returning merchandise, or is constantly missing items.
Retail Merchandise Returns
Before returning retail items, please call our Credit Dept to receive a Return Authorization (RA). No credit will be issued on items returned without a proper RA. A 20% restocking fee will be charged on all returned retail items. For special orders of non-inventory items, credit will be issued only after we receive credit from the manufacturer. No returns will be accepted after 30 days.
Fashion/Bridal Shows
Depending upon your annual account volume, discounted or free fashion/bridal show outfits will be provided during the months of September thru March. These outfits are subject to availability and orders must be placed at least 7 days in advance. Fashion/ bridal show outfits needed during April thru August will be charged at full rental price. Shipping charges will apply to free outfits.
Your account must be current to receive discounted or free outfits.
Try-Ons/Samples
On a limited basis, try-on/sample coats, vests, and ties will be provided at no charge, subject to availability. Complete outfits will be charged a flat $20.00 fee. Due to heavy demand, tryons/samples will not be available during April and May. Pants, shirts and shoes will be charged at the regular rental price to cover cleaning and restocking expenses. Shipping charges will apply.
Past due accounts will be charged full rental price for all try-on/sample items.
Alterations
The only alterations allowed to be performed on our merchandise will be shortening or lengthening of sleeves or pant bottoms (without cutting or damaging fabric).
Use of permanent bonding products is strictly prohibited.
For your convenience, if you prefer to have us lengthen or shorten the coat sleeves for you, there will be an alteration charge of $1.50 per sleeve.
At your request, the sides of the coat can be taken in to fit a special customer for an additional charge of $10. The bottom of the coat can be raised for an additional charge of $5.
Catalogs
Depending upon your annual account volume, catalogs will be provided at no charge. These catalogs remain the property of Tuxedo Warehouse Inc and must be returned upon request. If they are not returned, the cost of the catalogs will be billed to your account.
Catalogs may be purchased at a cost of $150.00 per set (tuxedo and accessory book).
Brochures
Personalized tuxedo/suit brochures are available for $0.30 each. Any customization will
be billed at a rate of $25.00 per hour.
Garment Bags
Black garment bags with “www.WeRentTuxedos.com” in silver are available for $3.00 each.
